1. Introduction
This policy outlines the guidelines and expectations for all members of Pro Judo regarding the use of social media and online communications. The purpose is to ensure responsible and respectful online interactions that uphold the club’s values and reputation. This policy operates in conjunction with the official safeguarding and conduct guidelines of Judo Scotland and the British Judo Association.
2. Responsible Online Behaviour
All members, including athletes, coaches, administrators, parents, and volunteers, are expected to conduct themselves professionally and respectfully in all online interactions related to the club. This includes:
- Avoiding offensive, discriminatory, or defamatory language, images, or content.
- Showing respect for fellow members, opponents, officials, and the wider judo community.
- Refraining from engaging in cyberbullying or harassment of any kind.
3. Confidential Information and Safeguarding
The safety and privacy of our members, especially minors, is paramount.
- Do not share sensitive or private information about the club, its members, or any related matters on public platforms.
- Obtain explicit permission from parents/guardians before sharing any images or videos of minors. Respect the wishes of those who do not want their child to be photographed or filmed.
- Coaches and staff should not engage in private, one-on-one communication with minors via personal social media accounts. All communication should be conducted through official club channels with a parent/guardian included.
4. Representing the Club
When engaging in online activities, remember that you are a representative of the club.
- If you post on your personal social media, clarify that your opinions are your own and not necessarily those of Pro Judo.
- Only official club representatives, as authorised by the club, are permitted to make announcements or speak on behalf of Pro Judo through official channels.
- Permission from a club official must be obtained before posting promotional content or advertisements for Pro Judo.
5. Official Club Social Media Accounts
Only designated club officials are authorised to manage and post to the club’s official social media profiles. The purpose of these accounts is to:
- Communicate official club information, announcements, and updates.
- Promote club events, programs, and services.
- Celebrate member achievements and foster a sense of community.
- Handle all communications in a professional, courteous, and respectful manner, representing the club’s values.
Designated officials should follow best practices for account security and management.
6. Respect for Intellectual Property
- Always give credit when using content, images, or materials that belong to others.
- Obtain proper authorisation before sharing copyrighted material.
7. Dealing with Conflict
Conflicts or disagreements should be resolved offline through appropriate channels, rather than in public disputes on social media. We encourage the use of respectful and constructive language at all times.
8. Reporting Misconduct
If you encounter inappropriate or offensive content related to Pro Judo, or if you have a safeguarding concern, report it immediately to the Pro Judo Child Wellbeing and Protection Officer (CWPO).
9. Consequences of Violations
Failure to adhere to this policy may result in disciplinary action, including verbal warnings, suspension from club activities, or, in severe cases, termination of club membership.
10. Policy Review and Updates
This policy will be reviewed and updated annually to reflect changes in technology, communication practices, and the official policies of our governing bodies.
